ChurchSuite is our church communication tool. 

It is where you can find out about church events, rotas for the ministries you are serving in, contact information for your small group and others in the church.

ChurchSuite also helps you keep your personal details up to date so we can keep in contact, and make sure you get our weekly information email.

Getting Started with ‘my church suite’

Step by step instructions to get your account up to date

Logging onto My Church Suite 

You should have received an invitation (via email) to My Church Suite. Please click on the link in the email to set up an account. If you haven’t registered for an account you can do so in the Register Online tab

Privacy Settings

Once you have created an account and logged in, you will be able to see and edit the information in your profile and you can also set what information is visible to others. You can do this by clicking the ‘My Details’ tab in the menu bar. When checking this data, please amend anything that is incorrect or needs updating BUT PLEASE DO NOT DELETE anything. If you don’t want people to be able to see your email address then ensure the box next to ‘Make my email visible’ is unticked. If you delete data then the team at CBC won’t be able to use this information to connect with you or to help you connect into life at CBC. Make sure you click ‘Save Changes’ when you have finished! Only the options that you have made visible will be seen by others within CBC with the exception of the Church Office Managers and Co-Pastors who are the administrators for the system.

In the ‘subscriptions’ tab you can set what type of communication you receive from CBC. We suggest you ensure all these boxes are ticked. We will ensure that we don’t overload your inbox. If you feel that you are receiving too many emails then simply let us know.

Volunteer Teams and Life Groups

If you are part of a volunteer team or a Life Group within CBC, you will be able to access your rotas and communicate with your team or group through the relevant tabs in the menu. (My rotas, My Groups. If these are not visible when you create your account, please do not worry, it may be that your group leader has yet set these up. Once they are available they will automatically appear in your menu.

Family Connections 

If you have other members of your family who are also part of CBC, the system should have connected you all together by address. You can link your profile to your spouse’s in your profile settings.

Children and young people profiles can only be seen by the parents and relevant group leaders and are NEVER visible to anyone else. Parents are able to amend, update and control their children and young people’s profiles. Please help us by keeping this up-to-date with relevant health and allergy information

Alternatively use an app! The ChurchSuite app is available to download for iOS through the App Store and for Android through Google’s Play Store. Windows mobile users can access ChurchSuite using their device’s web browser.

Managing Rotas

Find out how to get organised when you’re serving on a team

Church Suite is fairly intuitive. You can probably figure this out without following these instructions. But if you are the type of person who likes to have it all laid out for you – here are the step by step guides to help you make the most of your rotas in My Church Suite.

Logging onto My Church Suite 

You should have received an invitation (via email) to My Church Suite. Please click on the link in the email to set up an account. If you haven’t registered for an account you can do so in the Register Online tab

How to see when you are serving on a rota

  1. Log on to mychurchsuite using the details you set up when you activated your account.
  2. Click ‘My Rotas’ from the menu bar on the left hand side.

Now you can see the upcoming dates that you are serving on a team (Next Serving); the dates you have blocked off as unavailable to serve (Unavailability) and all the rotas for the teams in which you serve (Rotas)

You can add these dates into your Google or iCal diary by clicking the iCal or Google links. It will automatically add any future dates into your diary for any rota on which you volunteer.

Not all of the rotas are set up yet on Church Suite, but they will be soon.

How to set dates that you are unavailable

  1. From within the ‘My Rotas’ screen, click the button that says ‘+ Unavailability’
  2. Set the dates that you are unavailable. (please keep this updated – no matter how far ahead the unavailability is!)

If you are part of a team that has set teams (e.g. specific Worship Group) and you are unavailable for one of the weeks that your team is serving, we ask you to organise a swap with another member of the team.

How to swap a serving date with someone else on the team

If you are scheduled to serve on a date that you can no longer do, we ask that you try to organise a swap with another team member. Church Suite makes this a much simpler process than before.

  1. In the ‘My Rotas’ screen, click on the rota that you want to organise a swap.
  2. You can now see the entire rota and when other people are serving.
  3. Click ‘Members’. This gives you a list of the other team members and their contact details. It will only show the contact details in accordance with the privacy settings for that individual. By default, none of your contact details will be visible to people at CBC.
  4. Contact the specific member to see if they are happy to swap with you. If you want to email the entire team to ask if someone can swap, click the email button in the top right hand corner of the rota screen to send an email. Each rota has a custom email address that sends emails to the entire team without divulging anyone’s personal email address.
  5. Once you have arranged your swap you need to enter it into the system:

* Find the date you want to swap and click the 3 buttons next to your name.

* Click ‘Organise Swap’.

* Select the person you are swapping with and the return date that you are covering in their place. If no return swap is organised, select ‘No Return Swap’.

* Click ‘Save Changes’.

That’s it. The system will send an email to you; the person you have swapped with and the person(s) coordinating the rota.
